Getting started
Use rows, columns, and sheet tabs to organize your work.
- Enter text, numbers, or formulas in cells; formulas begin with
=. - Add, rename, or delete sheet tabs. The last remaining sheet cannot be deleted.
- Use multiple sheets for related data and reference another sheet in formulas, for example
Sheet2!A1.
Formulas & functions
Calculate values and build formulas across cells and sheets.
- Use the Functions picker on the Data toolbar to insert a function.
- Copy formulas to nearby cells; relative references adjust to the destination.
- Cross-sheet references can be inserted by switching tabs while editing a formula and selecting a cell.
Editing & undo
Quick ways to work with cells and ranges.
- Copy, cut and paste cells or selected ranges with standard keyboard shortcuts.
- Paste delimited text such as CSV or TSV into the active cell.
- Undo with Ctrl/Cmd+Z; redo with Ctrl+Y, Cmd+Shift+Z or Ctrl+Shift+Z as applicable.
- Undo and redo cover edits, paste, autofill, and row/column insert, delete and clear operations.
Formatting & selection
Format values and select the exact scope you want to work with.
- Use Home > Number to apply General, Number, Currency, Percent, Date, or Text display formats without changing the stored value.
- Use Insert > Progress bar for a visual numeric progress display.
- Use Ctrl/Cmd+B, Ctrl/Cmd+I, and Ctrl/Cmd+U to apply bold, italic, and underline to selected cells.
- Click row or column headers, or use Shift+Space and Ctrl/Cmd+Space, to select a whole row or column. Use the top-left corner to select the entire sheet; the name box displays All cells.
- When a selection includes merged cells, Sheets keeps the merged cell bounds included in the range.
Autofill
Extend values, series and formulas without retyping.
- Drag the fill handle to repeat text, continue numeric or date-like sequences, or copy formulas with adjusted references.
- Double-click the fill handle to fill downward alongside nearby data.
- Large downward double-click fills may use virtual rules for cells beyond the initial physically written range.
Sort & filter
Find and organize records in a table.
- Sort a selected range A–Z or Z–A using the active column.
- Use column filters for selected values, text matching, and non-empty cells.
- Combine filters across multiple columns; clearing one column’s filter leaves other filters in place.
- Filtering hides rows in the current view rather than deleting source data.
Freeze panes
Keep important headings visible while scrolling.
- Under Appearance, choose Freeze Top Row, Freeze First Column, or Freeze at selection.
- Alt+click a row or column header to freeze through it; double-click the frozen boundary again to unfreeze.
- Use row/column header context menus to freeze or unfreeze; choose Unfreeze to clear frozen panes.
Importing data
Bring existing files into Sheets.
- Import
.xlsx workbooks with supported formulas, formatting, merges, and selected drawing features. - Legacy
.xls import is basic; convert to XLSX for better fidelity. - CSV, TSV and other supported delimited text can be imported into a new sheet, the current sheet, or starting at the selected cell.
- For XLSX/XLS files within the browser import limit, you can insert new sheet(s), replace the current sheet using the first source worksheet, or place the first worksheet at the selected cell.
- Larger cloud XLSX imports are processed in the background and add new tabs after processing and confirmation. They do not replace the current sheet or start at the selected cell.
Exporting data
Save or share data in common formats.
- Export the active sheet as CSV or TSV.
- XLSX export is supported for the current sheet or all sheets, subject to the file and cell limits below.
- CSV/TSV export writes displayed cell values, not formula expressions.
- Supported cell display formats, including date, number, currency, and percent formats, are carried through XLSX export where supported.
Charts
Turn spreadsheet data into visuals.
- Select the data you want to visualize, then choose an available chart type.
- Charts can help compare categories, show trends, and communicate results.
- The exact available chart types and chart-editing controls depend on the current Sheets implementation.
Rules
Manage rules that guide input or change how cells look.
- Open the Rules tab to access Conditional Formatting and Data Validation.
- Conditional Formatting applies visual rules to a selected range, including text, number, date, empty, and non-empty conditions.
- Data Validation guides or constrains values entered in a selected range, including dropdowns and checkboxes.
- Rules are stored separately from ordinary cell formatting, so large ranges and whole columns do not require a style write to every future cell.
Data connections via Vault
Bring connected data into your spreadsheet.
- Manage connections through Vault.
- Use the connection import workflow in Sheets to bring data from a configured connection into the sheet.
- Available sources, authentication, and refresh options depend on the configured connection.
Insert pictures & controls
Make sheets more visual and interactive.
- Insert pictures to accompany your data.
- Add dropdowns and checkboxes for convenient structured input.
- Use progress bars to present completion or progress values visually.
Sharing & collaborative editing
Work together on a Sheet.
- Share access to your Sheet with collaborators.
- Collaboratively edit sheet content with other authorized users.
- Available permissions and sharing controls depend on the Workbooks sharing settings.
Excel file size limits
These are current Sheets application limits, not Excel’s native limits.
| Operation | Limit | What happens beyond it |
|---|
| XLSX import | 100 MiB and 500,000 cells across the workbook | Import is rejected. |
| Legacy XLS import | 25 MiB and 500,000 cells | Convert larger files to XLSX. |
| XLSX export — current sheet | 500,000 cells in-app; background export up to 1,000,000 | Above 1,000,000 cells, export is rejected. |
| XLSX export — all sheets | 500,000 cells across the workbook | Export is rejected above the limit. |
Cell counts use rectangular used bounds (rows × columns), even for sparse sheets. Large cloud XLSX imports create new tabs only after successful processing and confirmation. Large local-workbook imports are not currently supported.
